Introduction

Canfurence Anthropomorphic Events Inc. (hereafter referred to as CanFURence) takes the safety and wellbeing of its attendees seriously. This document is to ensure that all attendees who wish to participate in the FurryDex game may be aware of what personal information they are providing to CanFURence, why this information is needed, and how it will be used so that an attendee may make an informed decision before choosing to send CanFURence any personal information required to participate in the FurryDex game.

Privacy Statement

This policy covers only the personal information provided to CanFURence for the purpose of participating in the FurryDex game. Personal information in this context refers to the data voluntarily submitted to CanFURence by game participants that may or may not be able to be used to identify them.

Accountability

While PIPEDA does not generally apply to CanFURence as a not-for-profit organization, CanFURence is still accountable for personal information entrusted to it and under its control. Any questions or concerns may be directed to info@canfurence.ca

The FurryDex Game

The FurryDex Game provided by CanFURence for its attendees to participate within is strictly voluntary and contains two optional roles. Participants may choose either or both roles:

  • "Fursuiters": Attendees may participate in the game as a “Fursuiter” by voluntarily filling out and submitting a Google Form provided by CanFURence. This form provides the attendee with several optional fields they may fill out with personal information to identify the fursuit such as:
    • The name of the Fursuit
    • A hint to assist participants in identifying the Fursuit
    • The “species” of the Fursuit
    • Social media links to help facilitate the sharing of images taken of the Fursuit by attendees during the convention and promote the participant
    • A photo of the Fursuit
    This personal information submitted to CanFURence will be used to create an entry for the Fursuiter on the FurryDex website for other participants to view. Attendees who wish to participate as a “Fursuiter” must be registered to the CanFURence event and be 18 years of age or older.
  • “Fursuit Catchers”: Attendees may participate in the game as a “Fursuit Catcher'' who may voluntarily log into the FurryDex website using a Google Account (authentication is performed by Google, not CanFURence). CanFURence will use the Google Account ID and email address to create an account on the FurryDex website. Scanning a QR code worn by a “Fursuiter” will unlock the “Fursuiter’s” corresponding entry hosted on the “Fursuiter Catcher’s” account to be viewed. Attendees who wish to participate as a “Fursuit Catcher” must be registered to the CanFURence event.

Consent

As all personal information collected for the FurryDex game is voluntarily provided, CanFURence interprets the submission as consent to the collection, use and disclosure of personal information as described in this policy.

Access and Use of Personal Information Collected (Fursuit Catcher)

Upon logging into the FurryDex website using a Google account, the Google Account ID and associated email address is stored by CanFURence for identifying the user on subsequent logins so that their progress in capturing participating Fursuiters may be retained. This is the only way CanFURence will use this information and CanFURence will do its best to safeguard this information. An individual may submit a written request via email to info@canfurence.ca to have their e-mail and its associated Google ID deleted. CanFURence will not share the Google Account ID or Email address with anyone.

Access and Use of Personal Information Collected (Fursuiter)

Upon completing and submitting the FurryDex Google Form, the personal information submitted to CanFURence will be used to generate an entry profile of the Fursuiter to be hosted on the FurryDex Website and will be viewable by any participant who:

  1. Creates a “Fursuiter Catcher” account and;
  2. Scans a QR Code provided to the Fursuiter by CanFURence

CanFURence will not use the submitted personal information for any purpose other than the purpose of creating an entry for the Fursuiter, nor will CanFURence share this personal information outside the FurryDex Game.

This personal information is stored in a database which is only accessible locally by the FurryDex Game server within the CanFURence private network. Backups made of the database are encrypted following recommendations by the Canadian Centre for Cyber Security (CCCS).

While CanFURence as an organization will do its best to safeguard this personal information as best it can, CanFURence cannot govern or monitor how participants may use the personal information outside the FurryDex game or identified purposes. In addition, while the only intended participants are registered attendees of CanFURence events, CanFURence cannot guarantee that non attendees may be able to view the Fursuiter entries.
